Owners and department admins can add users to your organization in Tropic. Department admins can only add users to their own department.
Add a Single User
Requires one of the following roles: Owner Department admin
- Navigate to Settings --> Users --> Add Single User.
- Enter the user's information. First name, Last name, Email, and Role are required.
Note: You can't specify multiple roles when you add a user. To add multiple roles, you must change the user's roles afterward. For more information about user roles, see Tropic user roles and permissions.
- By default, new users receive an email invite to Tropic. To send this this invite later, uncheck Send email invitation now.

Best Practice: It is recommended to send the email invitation immediately to ensure the user can quickly access Tropic and start using the platform without delays. However, if the user's start date is in the future, you may choose to send the invitation later.

- Click Add User.
Add Users in Bulk
Requires one of the following roles: Owner Department admin
You can add multiple users at once using a CSV. You can also use the CSV to update existing users.
Important: You must add departments before importing users. When you import users with a CSV, you must specify a department for each user.
- Click Settings --> Users --> Add User --> Add Multiple Users.
- Click Download User Template to download the CSV template.
Fill out the CSV with your user data. The following table provides guidance for each field.

Email address of the user’s direct manager. Values are case-sensitive. If a user with the email address doesn’t exist, Tropic creates the user. Please note that these users will be created as Portal Users. Save the CSV using the .csv file extension. You can use any filename. |
- In Tropic, upload your CSV file using the Upload User Template section.
- Click Start Import. A success message will indicate the import has started. You’ll receive an email when the import finishes.
Handle Import Errors
If the CSV used to import users contains errors, Tropic sends the uploader an email. The email lists the rows containing the errors and the error that occurred.
You can reattempt the import after fixing the CSV errors.
