- Ironclad API Access: This is typically noted in your Ironclad contract. If you're unsure, contact your Ironclad representative.
- Ironclad Integration Access in Your Tropic Plan: This may be included in your current Tropic plan or available as an add-on. If you're unsure, contact your Tropic representative.
Overview
Tropic’s out-of-the-box Ironclad integration means you can link Ironclad workflows directly to your Tropic Requests. This simplifies your purchasing process because you can:
- Import Ironclad workflows into Tropic
- Review and map form fields for compatibility
- Map Tropic Request Forms to workflows within Ironclad
- Start an Ironclad workflow directly from Tropic
- Monitor and track approval and signature packet status from within Tropic
- Bi-directionally sync comments between Tropic and Ironclad for linked workflows
Prerequisites
You will need Admin privileges on both Tropic and Ironclad.
In Ironclad
The Ironclad user account you use to connect the integration must belong to a group with API Management enabled.
This setting allows Ironclad to:
- Configure and manage API tokens, webhooks, and OAuth client applications, which Tropic uses to synchronize comments and update task statuses in real-time.
- Ensure webhook creation succeeds during the initial connection.
To verify:
- In Ironclad, go to Company Settings > Groups.
- Select the group your integration user belongs to, for example, Administrators.
- Under Admin Permissions, confirm that API Management and Users & Groups Administration are both set to Yes.
- If it is not, ask an Ironclad administrator to enable it or move the integration user to a group that already has it enabled.
We also recommend granting this group access to:

All Workflows (Current and Future) so Tropic can continuously sync workflows and comments across all workflow types.
(If access is later restricted in Ironclad, Tropic will lose access to those workflows and related data.)
Tip: We recommend creating a dedicated integration user in Ironclad (for example, TropicIntegration@yourcompany.com) with these permissions. This ensures the connection stays active even if someone leaves your company.

Save the Requester's email in Ironclad
When using the integration, the workflow will show as being owned by the integration user. To allow your team to see who made the request:
- Add a short text field in Ironclad named Integration Requestor Email, so reviewers immediately know who kicked off the request.

Steps to Connect
- In Tropic, go to the Integrations page and select Ironclad.
- Click View Details, then click Connect.
- Click Allow Access to authorize permissions for Tropic, and log in to your Ironclad account.
Importing Ironclad Workflows
- Once you're connected, click Import Forms to bring in the Ironclad workflows you want to use with Tropic. You can import as many as you need - they'll be available for use in your Tropic workflows.
- Select the Ironclad workflow you want to sync.
- Click Import to bring it into Tropic.
- For any questions marked Needs Review, click Edit and review the information. Tropic flags these when it can't retrieve complete details from Ironclad, like field type or conditional logic.
Limitations
IMPORTANT: Due to an Ironclad API limitation, Tropic can only receive one conditional question per property when mapping a workflow. If your Ironclad workflow includes multiple conditional questions tied to the same property (such as “Purchase Term”), only one of those questions will appear in Tropic.
How to resolve this in Ironclad:
- Create a new property (for example: Purchase Term – Alt).
- In Ironclad Workflow Designer, assign the second conditional question to this new property.
- This will allow both conditional questions to appear in Tropic without one being overwritten.
- Return to Tropic and remap the form. Both questions should now appear.
Mapping Request Forms
After importing workflows, you can connect your Tropic request forms to Ironclad workflows. This way, answers from the Tropic request automatically populate in Ironclad, so your team doesn’t have to type the same answers twice.
- Click Map Request Forms to begin.
- Choose a Tropic request form.
- On the mapping screen, connect your Tropic fields with the matching Ironclad fields. You only need to map the important ones - skip anything that doesn't apply.
- If Ironclad has a question that's missing from your Tropic form, you can add it directly to any page of your request form.
- Click Next when you're done.
Avoid Duplicate Questions When mapping forms, Tropic will flag questions that might create duplicates - meaning your users would have to answer the same thing in both Tropic and Ironclad.
To fix this, make sure your important questions (especially legal ones) are already in your Tropic request form, then map them to the matching Ironclad fields. If you spot a useful question in Ironclad that's missing from Tropic, just add it to your request form so users only answer it once.
Managing Bi-Directional Comments
You can choose to sync comments between Tropic and Ironclad. This means comments made in one platform will appear in the other, facilitating communication.
- To set this up, click Edit next to any workflow name and toggle comment syncing on or off.
- When enabled, comments in either system will appear in both. Turn it off if you want to keep comments separate.
Note: Deleting a comment in one system removes it from both.
Viewing Synced Workflows
You can view and manage your synced Ironclad workflows within Tropic, just click the ellipsis [...] next to your workflow.
Setting Up Ironclad Tasks in Workflows
To create an Ironclad task in Tropic:
- Open your workflow and add a new task with the type of Integration
- Choose Ironclad from the dropdown.
- You can set up tasks to initiate Ironclad workflows, monitor approval statuses, and manage signature packets - all automatically updated by Tropic.
How Task Syncing Works Once you set up Ironclad tasks in your workflow, Tropic handles the rest automatically. When someone submits a form, it kicks off the Ironclad workflow and updates your Tropic tasks as approvals and signatures come in. No manual updates needed
