Overview
This guide provides step-by-step instructions for setting up the Whistic integration in Tropic. Once connected, this integration enables Tropic Users to add prospective new suppliers to the Whistic vendor catalog as part of their procurement process—without leaving Tropic.
Users with Owner-level permissions in Tropic can add the Whistic Task to Workflows, ensuring that all new prospective suppliers have a vendor record in Whistic.
Prerequisites
Before setting up the Whistic integration, ensure the following requirements are met:
Workflow Studio Access
- Your Tropic account must have Workflow Studio enabled.
- If you need access, contact Tropic Support.
Whistic Access
- Your company must have a Whistic contract that includes the Assess product—a basic Whistic Profile is not enough.
- If you're unsure, check your contract in Tropic or ask your Whistic account representative to confirm.
Steps to Connect Whistic to Tropic
1. Generate an API Key in Whistic
- Log in to Whistic.
- Navigate to Company → Settings → Integrations.
- Under Generate API, click Generate New API.
- Provide an intuitive name and click Done.
- Click Copy Key to Clipboard.
2. Connect Whistic in Tropic
- Log in to Tropic.
- Navigate to Integrations.
- Locate Whistic and click View Details
- Click Connect.
- Paste the copied API Key into the field.
- Click Connect.
Important
- The User who establishes the connection in Tropic must have Owner-level permissions.
- To set up this integration in your Tropic instance, you will need Tropic’s Workflow Studio.
- Please reach out to our Support team who will be able to assist.
- Generating an API key in Whistic requires Admin permissions.
- The same User should generate the API key and establish the connection to avoid sharing sensitive credentials.
Adding Whistic Tasks to Workflows
After successfully connecting Whistic, you must add the Whistic Task to Workflows to enable Users to create vendor records directly from their Requests.
Recommended Task Placement
- Add the Whistic Task at the beginning of the Workflow to initiate risk assessments early in the procurement process.
Recommended Task Settings
Once your connection has been established you will need to add the Whistic Task into your Tropic Workflows. This Task will allow/require Requestors to add the prospective supplier to the Whistic Vendor catalog and trigger any automation that may follow such as a risk assessment.

Steps to Add the Whistic Task in Tropic
In Tropic
- Navigate to Settings --> Purchase Workflows
- Select a workflow where you wish to add the Whistic Task or create a new Workflow
- Click the + button where you want to insert the Task.
- Select a Task Type of Integration and select Whistic
- Provide an intuitive Task Name Whistic (for instance: Create Vendor In Whistic)
- Add any instructions and set the Assignee to Requestor
- Set your Due Date and click Add Task
💡 Note: Updated Workflows must be assigned to Requests for the Whistic Task to appear. To automate Workflow assignment, review your Workflow Assignment Rules.

Post-Setup Steps
- Verify that new Requests containing a Whistic Task correctly prompt Users to create vendor records in Whistic.
- If your organization uses customized intake forms in Whistic, Tropic will prompt Requestors to complete any required fields before submission.

Q: Is this integration a 1-way or 2-way integration with Whistic?
A:This integration is a 1-way integration. Information is transferred from Tropic to Whistic.
Q:What do I need from Whistic to be eligible for this integration?
A:Your organization must have an active contract with Whistic that includes Whistic’s Assess product. A Whistic Profile alone is not sufficient.
Q:What if the supplier being purchased through Tropic already has a record in Whistic?
A:If a supplier already exists in Whistic, Tropic will NOT create a duplicate record. Tropic will auto-complete the ‘Create vendor in Whistic’ Task.
Q:What if my organization has a customized Whistic intake form?
A:If your organization has a customized Whistic intake form, Tropic will gather any missing fields required to create a new supplier when the integration Task opens in Tropic.
Q:What if my org has automated processes configured upon supplier intake in Whistic?
A:Any automated processes will still be triggered when Tropic programmatically creates a new supplier in a customer’s Whistic catalog.
Q:Can I send a specific questionnaire to my supplier from Tropic?
A:Not yet. To kick off a questionnaire request, you must log in to your Whistic account.
Q:Can all Users of all roles be assigned this Task?
A:Any User with any role can be assigned this Task, including Portal Users. A User does not need to have a Whistic account to complete the Whistic integration Task in Tropic.
