The Purchasing Portal is your organization’s centralized hub for submitting, tracking, and managing purchase requests. With an easy, passwordless login using just a work email address, employees can seamlessly access the portal to handle purchasing needs without requiring a Tropic account.

What You Can Do in the Purchasing Portal
- Submit Requests: Fill out a simple form to initiate purchase requests.
- Track Requests: Monitor the status of your submissions and leave comments in the activity feed.
- View Assigned Tasks: Stay informed of your responsibilities, such as approvals or document uploads.
- Access Contracts You Own: See contracts where you’re listed as the owner and access related details.
- Use the Action Center: View tasks, conversations, and recent activity all in one place.
Designed for Portal Users
Most individuals in your organization will only use the Purchasing Portal rather than the full Tropic platform. These users, referred to as portal users, can:
- Submit and track requests.
- Explore potential SaaS suppliers and view pricing benchmarks.
- View and complete assigned tasks.
- Access contracts they own.
- Stay informed with task and activity updates in the Action Center.
Portal users have limited access to sensitive information, restricted to their own requests or contracts. For more on user roles, see User Roles and Permissions.
How to Access the Purchasing Portal
Portal users can log in effortlessly with passwordless authentication, sometimes referred to as a "magic link" or "magic code."
Steps to Log In:
- Go to Purchase Portal.
- Enter your work email address and click Sign in with Email.
- Check your email for a verification code from Tropic.
- Enter the code and click Sign In.
- If prompted (first time users), provide your first and last name, then click Next.
Using the Purchasing Portal
Submit and Track Requests
- Submit a Request: Use the Purchasing Portal’s request form to initiate purchases. For more details, see Create a Request.
- Track Requests: View your submitted requests under Your Requests. Click on a request to see its current stage, leave comments, or access additional details.
Manage Assigned Tasks
As your request progresses through the approval stages, you may be assigned tasks, such as approving requests or uploading documents.
- View your tasks in the Your Tasks section.
- Click a task to complete it or access related request information.
Access Contracts You Own
If you are listed as the owner of a contract, you can find it under Your Contracts in the portal.
- Click the supplier name to open the contract overview and access linked documents.
Navigate the Action Center
The Action Center consolidates your tasks, conversations, and recent activity into a single, convenient location.
- To access the Action Center, click your avatar in the top-right corner of the portal and select Action Center.
