Overview
Tracking linked contracts and requests in Tropic allows you to maintain a clear history of supplier interactions, ensuring streamlined procurement processes. This guide explains how to view and manage linked contracts and requests in both the Purchasing Portal and Tropic Platform.
Contract records are primarily created through purchase requests. Each contract record can link to two types of related requests:
- Originating Request: This is the initial request that created the contract record. For renewal contracts, it refers to the renewal request.
- Next Request: This is the subsequent request that renews or replaces the contract.
Requests can also link back to their originating contract or their next contract. These links allow you to track your interactions with a supplier over time.
Linking Requests to Contracts
You have two main options for linking a request to a contract record:
- Using the Create Contract Task: This allows you to create a contract record directly from a request.
- Submitting a Renewal Request: For software contracts, a renewal request can be submitted to link a new renewal contract.
Viewing Linked Requests for a Contract
In the Purchasing Portal
If you’re the contract owner, you can view your contracts in the Purchasing Portal:
- Navigate to Your Contracts in the Purchasing Portal.
- Select the desired contract.
- In the Linked Requests section, you’ll find:
- Originating Request Created: The initial request linked to this contract.
- Next Request Created: Any renewal or replacement request.
- Simply click the link to view the associated request.
In the Tropic Platform
Requires one of the following roles: Owner Platform member Department admin Department member
- In Tropic, go to Contracts.
- Select the name of the contract you wish to view.
- In the Overview section, under Linked Requests, you’ll see:
- Originating Request Created and Next Request Created.
- Click the link to access the request details.
Viewing Linked Contracts for a Request
Only users with specific roles Owner Platform member Department admin Department member can view linked contracts within a request page on the Tropic platform.
To View Linked Contracts:
- Go to Requests in the Tropic platform.
- Select the request you’d like to view.
- In the right sidebar, click Contracts.
- The Contracts section will list all contracts for the request’s supplier, tagged as Originating or Next based on their relation.
Note: Viewing linked contracts is only available in the Tropic platform and not in the Purchasing Portal.
