Overview
Tracking linked contracts and requests in Tropic allows you to maintain a clear history of supplier interactions, ensuring streamlined procurement processes. This feature helps you connect contract records to their originating or renewing requests, giving you end-to-end visibility over time.
Contract records are primarily created through purchase requests. Each contract can link to two types of related requests:
- Originating Request: The request that created the contract.
- Next Request: A renewal or replacement request that extends or updates the contract.
Requests can also link back to their originating contract or next contract. These links help you track supplier activity across multiple purchasing cycles.
Core Capabilities
- Two-Way Linking: View both requests linked to a contract and contracts linked to a request.
- Create Contract from Request: Use the Create Contract task to generate a contract directly from a request.
- Submit Renewal Requests: Link new contracts to existing ones by submitting a renewal request.
- Role-Based Visibility: Linked contracts and requests are viewable only to users with roles such as Owner, Platform Member, Department Admin, or Department Member.
- Integrated Views: See linked requests in the Purchasing Portal (for contract owners) and linked contracts in the Tropic platform.
How It Works
- When you submit a request, Tropic creates a contract and links it as the Originating Request.
- If a renewal is needed, Submitting a Renewal Request will create a Next Request link.
- You can also use the Create Contract Task to manually initiate a contract from a request
- Linked items are visible from both the contract and request pages, depending on your role.
