Before You Start
To use DocuSign tasks in Tropic, you must first set up the DocuSign integration.
Add a Send Document(s) for Signature Task to a Workflow
The Send document(s) for signature task type lets an assigned user send documents for signature or view in DocuSign.
Important: The user can only send documents that have been previously uploaded to the request. To ensure the request contains the document, include an Upload Contract & Documents task earlier in the workflow.
We also recommend that you include a To Do task earlier in the workflow. As part of the To Do task, check the supplier's signing preferences. Some suppliers require that they send documents for signature. See Upload signed documents from a supplier.
To add a Send document(s) for signature task to a workflow:
- Open the workflow in Workflow Studio.
- If starting from a blank workflow, click Add a Task.
- If starting from an existing task, click one of the + icons to add a new task
- In the Add Tasks sidebar, select Integration as the Task Type.
- Select DocuSign as the Integration.
- Select Send document(s) for signature.
- We recommend you set Assignee Type to Requestor. In Instructions (Optional), include information about the documents to be signed.
- Click Add Task.
Managing DocuSign Tasks
Use the Go to Stage widget to navigate directly to stages like Approval or Closing, where DocuSign tasks are often located. The stage icons match those on individual tasks, helping you quickly identify relevant sections.
When editing DocuSign tasks, selecting a task opens the task details panel, which remains visible and updates automatically as you select different tasks. To delete a DocuSign task, click the delete icon in the panel or select the task and press the Delete key on your keyboard.
Add a View Signature Statuses Task to a Workflow
The View signature statuses task type lets an assigned user view who has signed or viewed a sent document.
Important: This task must be triggered by a Send document(s) for signature task, and must follow it directly, with no tasks in between.
The task automatically closes when the sent documents have all required signatures and views or is voided. If the documents have all required signatures and views, the task uploads a copy of the signed document to the request.
To add a View signature statuses task to a workflow:
- Open the workflow in Workflow Studio.
- If starting from a blank workflow, click Add a Task.
- If starting from an existing task, click one of the Add a Task icons.
- In the Add Tasks sidebar, select Integration as the Task Type.
- Select DocuSign as the Integration.
- Select View signature statuses.
-
Fill out the remaining task details.
We recommend you set Assignee Type to Requestor. Set the Due Date based on your expected turnaround for signatures, typically 1-3 days.- Note: Task durations are counted in calendar days, including weekends and holidays.
- Click Add Task.
