Overview
To create a request, you fill out a request form. After you submit the request, a user with the owner role can edit the submission. Editing a request submission lets you change any form answers, including:
- Requestor
- Supplier
- Purchase category
- Department
Note: Platform Members and Portal Users will not be able to make these changes, please reach out to Tropic Support or a Department Admin or Owner in your organization.
Important: Changing an existing request’s submission does not change its assigned workflow. See Change a request's workflow instead.
Edit a Submission
Requires the following role: Owner Dept Admin Dept Member Platform Member
Some restrictions apply to certain roles when editing a request submission. Refer to the document Users Roles and Permission for more details.
Note: When you edit a request submission, additional questions may appear if the request form was updated after the original submission. This ensures all required information is captured based on the latest form version.
Editing a request submission form will only trigger new conditional tasks if those tasks are scheduled to occur after the point you're currently at in the workflow. Tasks that have already been completed or should already be in progress will not be added.
What This Means:
- Future Tasks: If your edits trigger conditions that apply to tasks scheduled for later in the workflow, those tasks will be added automatically.
- Past or Current Tasks: If your edits would have triggered tasks that should have already been completed or are currently active, those tasks will not be added. Tropic does not retroactively adjust completed steps or tasks that should already be open.
Example:
- You submit a request, and some tasks are completed.
- You edit the submission to change an answer that would have triggered an earlier task.
- Tropic will not go back and add that missed task because it was part of a stage that's already done.
- However, if there are upcoming tasks that depend on your new answer, those tasks will be added as the workflow progresses.
This ensures the workflow remains consistent with its original progression while incorporating necessary future tasks.
To edit a request submission:
- In Tropic, click Requests.
- Click the request.
- In the Request Details section on the right inside, click Edit.
- Change any of the field values in the Request Submission tab.
- Click Save.
- And confirm your changes by clicking Save.
Note: The Request Category field is not editable in the submission form. For assistance with category-related changes, contact Tropic Support.
