Overview
In Tropic, workflows can be removed in two ways: deleting or archiving.
- Delete a workflow if you want to fully remove it from the system and it’s no longer linked to any active assignment rules.
- Archive a workflow if you want to hide it from use but keep its history intact for past requests.
Important: You can’t delete a workflow used in a workflow assignment rule. You must first replace the workflow in any workflow assignment rules. The replacement workflow must be assigned to the same purchase category. If you need assistance please reach out to our Support Team by submitting a ticket.
Deleting a Workflow
Requires the following role: Owner
- In Tropic, go to Settings --> Purchase Workflows.
- Click … for the workflow row.
- Select Delete Workflow.
- Click Delete on the confirmation message
Alternatively, you can delete a workflow directly from within the Workflow Studio:
- Open the workflow in Workflow Studio.
- Click the ... (ellipsis) on the top right.
- Select Delete Workflow
- Click Delete on the confirmation message
Deleting vs. Archiving
If you want to remove a workflow from active use but keep it linked to past requests, consider archiving instead of deleting.
- Archived workflows are hidden from the Purchase Workflows list but remain visible on any request that used them.
- Archived workflows can no longer be used or assigned.
- You can’t archive a workflow if it’s still used in assignment rules, remove it from criteria first.
To archive a workflow, go to Settings → Purchase Workflows, click ..., next to the workflow you want to archive, and select Archive Workflow.
