You can make questions in a request form conditional on the answers of a previous question. For example, you can choose to only include SOC 2-related questions if the requestor has already confirmed the supplier has a SOC 2 report.
Conditional questions help you reduce the number of questions requestors have to fill out to create a request.
Make a Question Conditional
Requires the following role: Owner
To add a conditional question to a request form:
- In Tropic, go to Settings --> Purchase Categories.
- Click the ellipsis [...] for the category you want to update
- Click Edit Form.
- Select the Request Form page to edit
- Select the question you'd like to edit
- Click the Edit icon.
- Toggle Show this question when specific conditions are met.
- Select the question, operator, and answers for the condition.
- Click Save.
The is and is not operator supports one answer. The includes operator supports multiple answers.
Once configured, the conditional questions will dynamically appear in the form only when the specified conditions are met. For example, if a requestor confirms the supplier has a SOC 2 report, the relevant SOC 2 questions will display in the form. This ensures a clean, intuitive experience for requestors while maintaining a well-structured workflow.
Editing Questions Used in Task Rules
When a request form question is linked to a task rule, you can see Used in Task Rule. This lets you know where the question is used.
To view tasks using the question:

Go to Settings → Purchase Categories → Edit Form.

Hover over the question and click Edit.
- Options that are being used in task rules are greyed out.
- Click View Tasks to see all workflows and tasks using the questions.

Click the task name to open the task rule details.
- In the Workflow Studio, you can see which request form question is linked to the rule and how it’s configured.
This makes it easier to locate where a question is used, review related tasks, and make updates without searching through multiple workflows.
📌 Important: Conditional questions cannot be used in form task rules. Responses to conditional questions will not trigger approvals or task assignments in Tropic workflows.
