Overview
As an Owner in Tropic, you have the ability to update a request’s stage to reflect changes in the purchase decision process. For example, if your organization decides not to proceed with a purchase or renewal, you can change the request to a closing stage, such as Closing, Not Purchased, or Not Renewing. This action finalizes the request and skips any remaining workflow tasks.
How to Change a Request’s Stage
Requires the following role: Owner
- In Tropic, Navigate to Requests.
- Locate and click on the specific request you want to update.
- Click Actions in the request’s details and select Change Stage from the dropdown.
- Select the appropriate stage: Closing, Not Purchased, or Not Renewing.
Important: Changing a request to the Closing, Not Purchased, or Not Renewing stage closes the request and skips all remaining tasks. This cannot be undone.
- Click Change Stage.
Workflow Implications
After changing a request’s stage, you may notice that some tasks in the Workflow Tasks tab are marked as skipped. This reflects tasks that were bypassed due to the request’s new status.
Best Practices
- Review All Tasks: Before closing a request, ensure that all essential approvals, documents, or updates have been addressed.
- Communicate Changes: Notify team members about stage updates to ensure alignment within the purchasing process.
