Overview
Effectively managing contracts in Tropic means staying on top of key metrics, using filters and groupings to organize your records, and keeping details up to date. This guide walks through the best ways to track activity, monitor renewals, and maintain clean, reliable data.
Key Contract Metrics
Use the metrics at the top of the All Contracts page to identify contracts that need attention:
Renewal Requests Needed
See contracts past their renewal reminder date with renewal types set to Automatic or Optional.
Click the count to view contracts that need a renewal request.
Opt Outs/Ins within 90 Days
Track active contracts approaching their opt-in or opt-out date.
Click to review contracts requiring a renewal decision.
Renewals within 90 Days
View the total contract value for active contracts expiring soon.
Click to assess financial impact and prepare accordingly.
Upcoming Contracts for Renewal
List of contracts with end dates in the next 90 days.
Click to prioritize upcoming renewals.
Undetermined Contracts
Highlights contracts missing an end date, which prevents Tropic from calculating status.
Incomplete Contracts
Identifies contracts marked as Action Required or Not Set in setup status.
Click the count to open the Contracts Missing Information tab.
Organize and View Contracts
The All Contracts page is your central hub for reviewing and updating contract records. From here, you can:
- Add new contracts
- View contract owners, departments, stages, values, and renewal dates
- Access contract documents and setup status
Group and Filter Contracts
Use Group By to organize your contract list by:
- Supplier – See which suppliers have the most contracts
- Department – View contracts by team
- Setup Status – Track contracts in states like Action Required, In Review, or Completed
Use Filters to narrow down your view:
- Supplier
- Owner
- Next Purchase Date
- Opt-Out Date
- Contract Value
- Status (Active, Inactive, etc.)
- Stage (Renewal, Terminated, etc.)
Customize Contract Columns
Tailor the All Contracts table to show only what you need.
Click Columns in the top-right corner of the list to choose which fields are displayed, such as:
- Contract Name
- Owner
- Start Date
- Auto Renewal
- Setup Status
Use Edit Selections to add or remove fields.
Review Incomplete Contracts
To view contracts missing key fields like end dates, owners, or contract values, click the Contracts Missing Information tab at the top of the page.
Contracts Missing Information Tab
Tropic surfaces incomplete contract records in a dedicated Contracts Missing Information tab. This view helps you stay on top of data hygiene and ensures all contracts meet the minimum requirements for lifecycle tracking, reporting, and renewal workflows.
The progress indicator (e.g., 4 of 7) shows how many of the seven required fields have been completed. Contracts missing key fields like Owners, Documents, Start Date, or Total Contract Value will appear here until resolved.
Manage Contract Documents
Each contract record can include supporting files.
Click the “...” menu next to a document to:
- Download the file
- Move it to a different contract
- Delete it if no longer needed
