Overview
Integrating the Price Benchmark Task into your workflow allows you to seamlessly capture and utilize pricing information directly within your procurement process. This integration simplifies the process, making it more efficient to access and use price benchmark data during negotiations.
Step-By-Step Demo

Click Start Demo to begin the demo.
Tip: You can navigate back and forth between steps by positioning your mouse at the bottom of the demo screen. A progress bar will appear, allowing you to jump to different steps as needed.
Prerequisites
- You must have permission to edit purchase workflows.
- The workflow must be categorized as Software for the Price Benchmark Task to be available.
Steps to Add or Replace the Price Benchmark Task
- Navigate to Settings → Purchase Workflows
- Select your existing software workflow
1. Replace an Existing Price Benchmark Task
If you already have a task to create a price check:
- Locate and select the existing price benchmark/price check task in Workflow Studio.
- Click Editing Task.
- Under the Task Type dropdown, select Price Benchmark.
- Click Save Task.
ℹ️ Nothing else needs to be updated unless you want to make additional changes.
2. Add the Price Benchmark Task:
Important: If your workflow is not categorized as 'Software,' the Price Benchmark task will not be available.
- Click the + next to the task where you want to insert the Price Benchmark Task.
- Under Task Type, select Price Benchmark.
- Ensure to provide all necessary information
- Click Add Task.

💡Important: The Price Benchmark task is only applicable for software requests.
What You’ll See
Once the Price Benchmark Task is added:
- It will appear in the Workflow Tasks tab under Requests when a software request is submitted.
- Assigned users will receive a notification in the Action Center and via email, just like other tasks.
- The task must be completed before the request moves forward, ensuring price comparisons are systematically recorded.
Complete the Price Benchmark Task
- Click Add in the Open Tasks section or locate the task under My Tasks.
- The Price Benchmark Form will open.
- Enter the necessary pricing details.
- Click Create Price Benchmark to complete the task.
- The task status will update, and the completion will be recorded in the Activity Feed.
Skipping the Price Benchmark Task
If a price benchmark is not applicable (e.g., the supplier is not compatible or the line item is unavailable):
- Click Skip Price Benchmark.
- Leave a note explaining why the task is being skipped.
- The action will be recorded in the Activity Feed, allowing for future reference.

Q: Why don’t I see the Price Benchmark Task option?
A: Ensure your workflow is categorized as Software, as the task is only available for software requests.
Q: What happens if I skip the task?
A: Skipping is logged in the Activity Feed, allowing visibility into when and why the benchmark was not completed.
