If you don’t plan to continue with a contract, you have two ways to close it in Tropic. You can either let it expire or cancel it before the end date. The option you choose depends on how the contract is ending.
Let the Contract Expire
If the contract is reaching its natural end and you’re simply not renewing, you can mark it as Not Renewed.
To do this:
- Open the contract record.
- Locate the Contract Stage field.
- Select Not Renewed from the dropdown.
- Save your changes.
This tells Tropic that the contract will not be renewed. The contract remains active until its end date, but you will no longer receive renewal reminders.
Cancel the Contract Early
If you are ending the contract before its scheduled end date, mark it as Terminated instead.
To do this:
- Open the contract record.
- Locate the Contract Stage field.
- Select Terminated from the dropdown.
- Enter the Termination Date.
- Save your changes.
This immediately marks the contract as inactive and stops all renewal tracking. Use this option if you’ve already notified the supplier or reached an agreement to cancel.
Which Option Should You Choose?
- Use Not Renewed if you are letting the contract expire naturally.
- Use Terminated if you are ending it early.
Both options stop Tropic from sending renewal reminders and help you keep your contract records accurate.
