Overview
Sometimes a renewal request is submitted without the correct contract attached. When this happens, the contract continues sending renewal reminders even though a renewal request is already in progress.
This guide shows you how to fix the issue by editing the renewal request submission and linking it back to the right contract.
- You submitted a Renewal Request but left the contract field blank.
- You selected only one contract when multiple should have been linked.
- You’re still receiving renewal reminders even though a renewal request exists.

Steps to Link a Renewal Request to a Contract
- Navigate to the Requests page.
- Find the Renewal request you created for that supplier.
- Click the Submission tab and click Edit
- Scroll down to “What contracts are associated with this renewal? section and select the contract that is due for renewal.
- If more than one contract for the supplier should be renewed together, select all applicable contracts.
- Leave unchecked any contracts that are not part of this renewal.
- Click Save to confirm your changes.
- Click Save to save the changes in the Request Summary and Request Submission.
- The request now shows the selected contract(s).
- Only the contracts you selected are updated,
- Their stage changes to Renewal in Progress and renewal reminders stop.
- Any active contracts you did not select remain unchanged and will continue to send reminders.
👉 Note: If the request was submitted as a New Purchase by mistake, you cannot change it to Renewal. Submit a new renewal request or turn off reminders and mark the contract as renewed after the new one is created. If you’re not sure which option to use, reach out to your Tropic Resource or Support for help.
- This process only applies to renewal requests.
- You cannot change the Request Type from New Purchase to Renewal once it's been submitted.
