Overview
Tropic’s Microsoft Teams integration enables you to receive notifications for key activities within the platform directly in Microsoft Teams. Once connected, you can stay informed about assigned tasks, contract renewals, @ mentions, comments, and request approvals without needing to check Tropic manually. You can also act on many of these notifications straight from the card in Teams, such as approving or rejecting a request or replying to a comment.
For additional context and to familiarize yourself with the broader integration features within Tropic, refer to the Integration Overview.
Prerequisites
- Requires the following role: Owner.
- A Microsoft 365 Global Administrator at your company. Connecting Microsoft Teams is a two-person step: the Owner shares a connect link, and the administrator opens it to approve Tropic’s access to your organization’s Microsoft 365.
- The Tropic app must be available in your company’s Microsoft Teams. The administrator adds it from the Teams app store (Apps - Tropic) or allows it in the Microsoft Teams admin center.
Steps to Connect
Connecting Microsoft Teams happens in three parts: the Owner copies the connect link, the administrator approves access, and the Owner activates the connection.
Part 1: Copy the connect link (Owner)
- Navigate to the Integration page in Tropic.
- Search for Microsoft Teams, or select Communications under Data Categories.
- Click View Details, or use the Setup Integration link in the email you received after being assigned this step.
- Click Copy Connect Link. A confirmation appears: Microsoft Teams connect link copied to your clipboard.
- Send the link to your Microsoft 365 Global Administrator. The link is tied to your Tropic organization, so only share it with the administrator who will approve the connection.
Part 2: Approve Tropic’s access (Microsoft 365 Global Administrator)
- Make sure the Tropic app is available in your company’s Microsoft Teams. In Teams, go to Apps, search for Tropic and add it, or allow it under Teams apps - Manage apps in the Microsoft Teams admin center.
- Open the connect link you received from the Tropic Owner.
- Sign in with your Global Administrator account.
- Review the permissions Tropic requests and click Accept.
- You are signed in once more so Microsoft can confirm your administrator role, then a Tropic page confirms: Microsoft Teams is connected and awaiting activation. No further action is needed from the administrator.
|
Note If the administrator declines, nothing is connected and the Owner can share the link again later. |
Part 3: Activate the connection (Owner)
- Return to the Microsoft Teams integration page in Tropic. Under Setup Progress, the Connect step is complete and the Activate step is pending.
- In the Details panel, Connected To shows the name of the Microsoft 365 organization that approved access. Check that this matches your company’s Microsoft 365 organization before activating.
- Click Activate. A confirmation appears: Microsoft Teams integration activated.
Once activated, Tropic matches your users to their Microsoft Teams accounts by email address and notifications can start.
|
Tip You can assign the Connect and Activate steps to different people from the Setup Progress panel. Each assignee receives an email with a link to their step. |
Verify Your Microsoft Teams Connection
Next, each user should verify their Tropic profile is connected to Microsoft Teams.
- Log in to the Purchasing Portal.
- Click your avatar in the upper right and select Profile & Notifications.
- Above the Notifications section, the Microsoft Teams card shows whether your profile is connected.
- If the card shows Connected with your email address, no further action is needed.
- If the card shows Disconnected with Connect to enable notifications in Microsoft Teams, click Connect.
What happens next depends on whether Tropic found your Microsoft Teams account automatically:
Your Teams account uses the same email address as Tropic
Clicking Connect links the accounts immediately. The card changes to Connected, the Tropic app is added to your Teams, and you receive a welcome message from Tropic in Teams.
Your Teams account uses a different email address
- In the modal, enter the email address you use for your organization’s Microsoft Teams account.
- Click Save. A confirmation appears: Verification sent to Microsoft Teams.
- The card changes to Pending with Waiting for ... to verify or reject in Microsoft Teams. Tropic also sends a verification message to that Teams account.
- In Microsoft Teams, open the message from Tropic and click Approve.
- Return to Tropic. The card should now show Connected.
If the verification message does not arrive, click Resend Verification on the card.
|
Note The email address must belong to the same Microsoft 365 organization that approved the integration. Otherwise Tropic shows: This email address does not exist in your Organization's Microsoft tenant. |
Enable Microsoft Teams Notifications
To get Microsoft Teams notifications from Tropic, users must enable them in their Tropic profile’s notification settings.
- Log in to the Purchasing Portal.
- Click your avatar in the upper right and select Profile & Notifications.
- In the Notifications section, use the Microsoft Teams toggle to enable or disable Teams notifications.
Using the Tropic App in Teams
Tropic sends notifications to your personal chat with the Tropic app. You can approve or reject requests, reply to comments, and complete surveys directly from the cards.
Type help in the chat to see what Tropic can do there. The Tropic app does not hold conversations, and messages typed in the chat are not read by anyone at Tropic.
Permissions Required
Tropic’s Microsoft Teams app uses the following Microsoft Graph permissions, approved by your Global Administrator when connecting:
| Permission | Used for |
| User.Read.All | Matching your users to their Microsoft Teams accounts by email address |
| TeamsAppInstallation.ReadWriteForUser.All | Adding the Tropic app to a user's Teams so Tropic can message them |
| AppCatalog.Read.All | Finding the Tropic app in your organization's Teams app catalog |
Tropic does not read your Teams messages, channels, or files.
Post-Setup
Now that Microsoft Teams is connected, you’ll receive notifications for key activities, including:
- Assigned tasks.
- Contract renewal reminders.
- Tagged @ mentions in a request or contract.
- Comments on requests and contracts you are involved in.
- Requests you submit.
- Approve, Request Changes, or Reject Requests.
You can enable these notifications in your Tropic profile’s notification settings.
Disconnecting: An Owner can disconnect the integration from the Microsoft Teams integration page using Disconnect. Individual users can disconnect their own account from the Microsoft Teams card in Profile & Notifications.
