Overview
Deactivating a user on the Tropic platform is an important security measure, typically used when a user leaves your organization or no longer requires access. Deactivation ensures the user cannot log in or perform tasks within the platform.
Important: Deactivated users can still access the Tropic Purchasing Portal with their work email. Refer to the section on Accessing the Purchasing Portal for details.
Roles Required: Owner or Department Admin.
Deactivating a User
When deactivating a user, you can choose to reassign their open tasks and owned contracts to another user. If you do not reassign tasks, they will remain assigned to the deactivated user and may not be completed. Reactivation is possible if the user needs access in the future.
Requires one of the following roles: Owner Department admin
To deactivate a user:
- In Tropic, navigate to Settings > Users.
- Click the ellipsis […] for the user row.
- Select Deactivate.
- Select a New Assignee for the deactivated user’s open tasks and owned contracts.
- Click Confirm Deactivation.
Note: The Deactivation modal will display information about any open requests or settings where the deactivated user is assigned.
Important: If the deactivated user is the organization's Fallback Recipient, an email notification will be sent to the Owners, prompting them to assign a new Fallback Recipient.
Reactivating a User
Reactivating a user allows them to regain access to the platform. This may be necessary if a previously deactivated user returns to your organization or needs access again. Note that tasks reassigned to another user during deactivation will not automatically revert to the reactivated user.
Requires one of the following roles: Owner Department admin
To reactivate a user:
- In Settings --> Users.
- Click the Deactivated tab.
- Click the ellipsis […] for the user row.
- Select Reactivate.
- Click Confirm Reactivation.
Important: Please note that if a user was deactivated and their tasks were reassigned to a teammate, if you reactivate that user, their tasks will not automatically be reassigned back to them.
